Members & invitations
Invite, edit, deactivate, and manage organization members in Settings → Teams: single invites, CSV bulk import, roles, and invitation lifecycle.
Overview
Organization membership is managed from Settings → Teams. Only Admins see this tab. From there you invite people, assign a Studio role, edit profiles, and deactivate accounts when someone leaves.
For what each role can do, see Roles & permissions.
Open Teams settings
- Open Settings (profile menu or gear)
- Under Admin, select Teams
- Use the Users and Invitations tabs
URL: /settings?tab=teams.
Non-admin members do not see the Teams tab. They can still update their own profile from Profile.
Invite a member
- Open Settings → Teams
- Click Add user (or equivalent invite action)
- Fill in:
- Email (required)
- Name
- Role — Admin, Builder, Runner, or Reviewer
- Optional: phone, job title, department
- Authentication method — email/password (Studio sends the invite) or SSO (identity provider)
- Choose whether to send the invitation email
- Confirm
Invited members receive an email with a link to join your organization (when email invite is enabled).
Bulk import (CSV)
For larger teams:
- Open the bulk import action in Teams
- Download the CSV template
- Fill rows with user details and roles
- Upload the file
- Optionally send invitation emails in bulk
Use bulk import when onboarding a department or migrating from another tool.
Invitation lifecycle
Pending invites appear under the Invitations tab.
| Status | Meaning |
|---|---|
| Pending | Invite sent, user has not joined yet |
| Accepted | User joined the organization |
| Expired | Invite is no longer valid |
From the invitations list you can:
- Resend the invitation email (respects the original auth method)
- Revoke a pending invite (removes the pending user)
Manage existing members
On the Users tab:
Edit profile
Admins can update a non-admin member’s name, phone, job title, and department. Members can edit their own profile fields from Profile; the role stays read-only.
Change role
- Open Manage roles for the member
- Select the new single role
- Save
Safety rules apply: you cannot demote yourself from Admin, modify another Admin, or remove the last Admin. See Roles & permissions.
Deactivate / reactivate
- Deactivate a non-admin member when they leave — they lose access immediately
- Reactivate a deactivated account if they return
You cannot deactivate yourself or another Admin.
Deactivated members immediately lose access to all organization content.
My profile
Any signed-in user can open Profile to:
- Edit phone, job title, and department
- See their current role (read-only)
Admins manage role changes from Settings → Teams, not from the member’s profile screen.
Best practices
- Apply least privilege: prefer Runner or Reviewer when someone only needs to run or approve
- Audit the member list periodically (for example quarterly)
- Deactivate access on the day someone leaves the team
- Prefer SSO for Enterprise orgs so joiners authenticate via your identity provider
